I was curious to see what kind of mailbox size limits other Exchange admins have set for their users.

We have ~1GB of mailbox storage limit set for each user and some are constantly hitting their limits. I would think 1GB is plenty and that people are just to lazy to clean out their mailboxes but am I wrong? Should I be setting it higher?

I could increase the limit, but I don't feel that would address the issue. People would just put off cleaning their mailbox until the limit is reached again.

Depends what they do. When I worked in a Fortune 50 company's NOC, I saved emails going back *YEARS* to cover our asses. I don't know how many times I pulled our asses out of the fire on conference calls by pulling up an email sent two years ago telling us to do something (or not do something).

People who like to store emails will do it one way or the other - use all the space available, or put it on a network share/local hard drive in an OST file.

At my current job, there's a lot of CAD/Adobe stuff that gets sent back and forth which adds up to a lot of space... so we have our mailboxes set at 25GB. Space is cheap. Our heaviest user is using 17GB.

5G here only because i haven't implemented archiving yet, i want to go down to 1G as i know people need to keep emails but i would rather dump them off to a PST and put it locally with a back up already of what ever is in the PST, keep the mail server slim and trim!

If your sending things around alot like CAD files maybe some network shares? or sftp servers for external people may work better?

all departments for me have a common shared folder, and each user has a personal folder on a server, also with roaming profiles and if someone needs to send a large file externally it goes on an sftp server or if anyone could get it an http server.

Just don't get caught up in the "you're too lazy" part. People have stupid habits and in this day and age of gotcha, people can be terrified of lost data.

And yes, they are too lazy.

Getting some people to embrace new tech is like pulling teeth. They use the open share for sharing docs between each other, but for everything else email works.

Ie. real questions I've gotten:
"Who deleted my Internet Explorer?" (Icon was moved to a different location than they were used to)
"All my emails disappeared!" (Outlook pane was pulled all the way to the side, covering up the emails)
"My computer won't turn on." (Screen was turned off)

lol. Where is the "stupid user" thread? I'm sure we could all fill it quickly.

Our company defaults to 250mb AND PST files are disabled.

2GB limit, warning at 1GB, sending disabled at 1.5GB. Ironically, we're still on Exchange 2003 Standard with ~130 users, so we're always close to the 75GB limit for the store. We've considered upgrading but with a minimal IT budget it's really not looking good.
