Hey,

So I've had a client bring something up to me that I've never had to look at before, a document scanner. They need to scan invoices that client's want to have emailed. They have a copier but it's an older model that doesn't have the scanner option on it and the supplier doesn't have the parts to get that working.

I've looked at reviews but it looks like one site says that one unit is awesome but another says it's no good.

Have any of you used a document scanner with good results?

Probably going to be sitting on a receptionists desk but also might be central and need to scan to the network.

What scanner do you have in your possession? What kind of capture software will you be using? Are you looking for any specific features?

Kodak makes good scanners.

I currently have a flatbed scanner but i use that for photos.

My client has nothing right now (including capture software) however will need one that can feed from the top, some sorta feeder option. Quick as time is money. Easy to use. Save as PDF for emailing to their clients. Price doesn't seem to be that much of an issue as he was expecting to pay 500ish.

I'm being brought in as a consultant for this part and dont know much about the network or dbase background. Thinking if it Could scan to a client folder and link to their account, that would be sweet.

Well, a few things.

Scanners are unfortunately expensive as f&@#. Especially the hyper-speed scanners which you won't need.

Something you will need though is OS compatability. A lot of the time drivers for an older scanner won't get updated for a newer OS. Most of the scan jobs that I do are on XP.

But it doesnt have drivers for anything past XP. It has a top feeder, it scans duplex (both sides) and at a reasonable speed. I have personally used it and for a breadboX scanner it does the job.

As far as scanning them as PDF's you might be able to do that with the capture software Kodak provides. I haven't used that software in a while so I can't recall. But that is typically an available option.

I recommend an inexpensive b&w or color laser MFD. Sure, they take up more room, but then it takes more room for separate devices.
 
I have a Fujitsu Scansnap S1500 (now iX500) at home. They run around $450 new but you do see them on sale occasionally. They autofeed and scan both sides at the same time in color. I probably scanned a few thousand pages when I first got it and wanted to ditch all my old paper records. I now use it as new documents come in.

Every time a thread on scanners pops up this is the scanner than gets recommended the most for quality home/small business use. Do a search for the old version S1500 and you should find a ton of information. I know mine even came packaged with a full version of Adobe Acrobat. I get tired of the constant updates but it does have a typewriter function that will let you type on pdfs.

Thanks for the info. That iX500 is pretty well rated. Expensive but if it does what it claims and what the users claim then that's a cheap amount to spend.

Another question has come up with this scanning project. Can these documents or the dbase of documents be accessed by everyone on the network? The client is wanting these central. Wonder if I should be building a server that has a dbase on it that the document control system accesses then everyone on the network can also access it.

Yes, as long as the scanner destination folder on the network is universally accessible/shared.
 
You probably want to go with a scanner that has an ADF option, especially for document scanning. I have experience with Xerox and Fujitsu models at home and work. The Fujitsu fi-6130z is a fairly well supported model if you are scanning to a local PC, networked location, or Citrix environment. It has a small footprint too and should be plenty fast enough for light to moderate use. Sounds like your client is asking for a scan/indexing solution. This type of work can get very complicated . . . .depending on what type (and how many) you have on staff to support this. Enterprise scanning solutions are quite an undertaking.
 
yeah document feeder and double sided scanning at the same time are 2 features that lower the effective filter of scanning..

if scanning takes too much time or is difficult then no one will buy in to their implementation and they will be used seldomly....

Scanners on inexpensive MFDs aren't all that reliable in a business environment. They are built for light duty.

As other have stated, ADF and two sided scanning are VERY important if you scan a lot.

Fujitsu makes some really good scanners. However, I do recall people complaining that the drivers would not allow to scan to certain formats (.png?) so you should check user requirements.

I've got an EPSON GT-2500 (no longer made) and it's very good as it has a flat bed for documents I don't want to put through the ADF. Epson workgroup level scanners are good.

That being said, the GT-2500 (and similar) scanner is really big. In hindsight I should have gotten a smaller document scanner and a separate inexpensive flatbed for the times I needed it.
 
I love the Fujitsu scanners at work. They just work and ScanSnap software works well. They seem well built as well.
 
I've had a scansnap s1500 for a few years now, bought for around $369 on sale and absolutely love it.

i've scanned everything receipts, documents, pictures and even old card collections. scanned over 50,000 items, the scanner had an issue once and Fujitsu rma was great, took around 11 days from sending out until receiving it back.

One of my best buys ever, you should definitely try one, i still am amazed at how fast it scans even at higher quality settings i get about 20 double sided scans on my fujitsu vs 1 single sided scan on my brother mfc laser printer.

I can vouch for Fujitsu scanners. I bought a large one for work ($4000) for high speed scanning (70 pages per/m double sided in color) and it has been a beast. We just did a kit on it recently and it continues to perform admirably.

I also use an Epson WorkForce Pro GT-S80 Document Scanner MSRP $899. Got mine for less than $700. Works great, scans double sided in color and you can set the software to ignore blank pages, though slower. Saves as jpeg, tiff, bmp, pdf and others.
