View Full Version : Exchange/Outlook problem?

There has to be a work around for this, or a checkbox that I forgot to check....

I'm accessing email from an Exchange server. Using Outlook in the office AND using pop-mail outside of the office.

I set up some "rules" to organize mail in my Inbox. "From Mike," "From Rick," "From Jim," etc. But what I've found is that these rules are actually set up on the server when I set them up in Outlook and take the mail out of the Inbox and puts them in their appropriate sub-folders even though those sub-folders are within the Inbox. I can not find where I can make the rules client side only.

Why is this a problem?

Well, when I check my mail with a pop client, like Outlook Express or Thunderbird, I don't receive any of the mail that's been filtered to a subfolder by a rule. I only receive email that lands directly in the root Inbox (mail that hasn't been filtered by a rule.) The only way I can read mail that's in a sub-folder is if I'm on the Exchange server using Outlook on a PC in the office or via OWA.

This is VERY clunky. There has to be a way around this. Any suggestions?

Whats wrong with using OWA, seems fine to me, i dislike pop mail

This is VERY clunky.

But it's also working as designed. Your rules are set to move mail on arrival to certain folders - and it does so. It seems the problem is using POP mail which only looks at the top level folder.

Right.... but if I'm not in the office, I'm not going to be on the Exchange server. In fact, I'll likely want to use the same pop client that I use for all of my mail boxes when not in the office.

I'm not saying that they way it is now is "wrong" because I'm sure it's "right" for some users, but there should be a check box or something in Outlook that the user can check to say whether they want this rule to apply to the server or only on the client.

Worst case scenario is I install a pop client on the PC and keep the Outlook installed only for the calender, etc. and remove all of the rules. I'd rather not do that because I think it's rather silly to have two email applications on the same PC checking the same account, but I think it's also rather silly that Microsoft didn't make provisions for people that use both Exchange and POP to check their email accounts.

You lost me there...where is your mail then? Are you using Exchange to pull mail off a pop3 server?

No.

It is an Exchange server hosting the emails.

When I'm on the domain, I use Outlook to access the Exchange server.

For people off the domain, the Exchange server is configured to be accessable via a pop client. This is what I use 75% of the time.

This works almost perfectly, except for the rules created on clients on the domain automagically apply to the server. I only want the rules I create in Outlook on the computer on the domain to apply to just that client so I don't "lose" mail moved from the inbox to their appropriate folder when accessing the server via a pop client.

Instead of using POP3 for off-domain e-mail access, why not use RPC over HTTP with Exchange?

Because I like using one client to check all of my email on multiple mailboxes from my PC, which I can do if I don't use rules to filter mail.

There's lots of "why not do this" but it seems pretty simple to me that Microsoft would make some way to differentiate a rule that dictates what happens to the mail on the server versus what folder the mail goes to when viewed on the client PC.
